Booking terms and cancellation policy

When your booking is confirmed

Your accommodation contract is formed when the full payment at booking is completed on the Beds24 checkout screen. Beds24 sends the confirmation email.

How to change or cancel

Changes and cancellations cannot be made on the website. Please use the contact form and include your booking number, name and stay dates. The time we receive the form counts as the request time (Japan time; local time for stays in Thailand and Los Angeles).

Cancellation fees

Stays in Japan with a 14-day deadline (Hakuba White Wood, Hidden Playground Kagurazaka, Ivy Place Harajuku, MIST, Osaka Castle House, PUFF, Shinobi House, Yuzawa Onsen Lodge)	Free until 23:59 Japan time, 14 days before check-in. After that, 100% of the total booking price.
Stays in Thailand (KIRA, KUMO 雲, Sanctuary, SORA 空)	Free until 23:59 Thailand time, 14 days before check-in. After that, 100% of the total booking price.
Stay in Los Angeles (LA Garden Villa)	Free until 23:59 Los Angeles time, 14 days before check-in. After that, 100% of the total booking price.
Peak periods (New Year, Golden Week, Obon) — all stays	Free until 23:59, 14 days before check-in (Japan time; local time for stays in Thailand and Los Angeles). After that, 100% of the total booking price.
No-show	100% of the total booking price.
Partial cancellation (fewer nights or guests)	The same deadline and rate apply to the cancelled portion.

What the fee covers, and refunds

Fees are calculated on the total booking price (accommodation, cleaning fee and taxes). If you cancel within the free-cancellation period, everything you paid is refunded in full. Refunds are made via Stripe to the card you paid with and usually appear within 5–10 business days.

Best price guarantee

Before you book on our website (iconhotel.jp), if another publicly available booking site (Airbnb, Booking.com, Agoda, Expedia, Rakuten Travel, Trip.com, etc.) shows a lower total for the same stay, dates, number of guests and cancellation terms (including room rate, cleaning fee, taxes and fees), send us a screenshot on LINE or through the contact form. Once we have checked it, we will let you book at the same price. Not covered: member-only or logged-in prices, prices after coupons or points, package deals (e.g. with flights), prices for dates that cannot be booked, and requests made after booking.

If we cannot provide the stay

If a disaster, equipment failure or similar prevents us from providing the stay, we refund everything you have paid and help you find alternative accommodation where we can.

Other terms

Check-in and check-out times are as shown on each stay's page. Late checkout is charged at ¥5,000 per hour (฿1,000 at stays in Thailand) after the checkout time (any part of an hour counts as a full hour). Exceeding the maximum number of guests or breaking house rules (smoking, noise, etc.) may result in being asked to leave during the stay, without refund.
